Business Support Administrative Assistant

Hourly Rate: $25 to $36 per hour
FLSA: Non-exempt
Full-time/Part-time: Full-time – in office only position

Under the direction of the Chief of Staff (CoS), the Business Support Administrative Assistant (BSAA) provides daily administrative and ancillary support. Responsibilities include but are not limited to mail distribution, record retention/filing/file maintenance, ordering and maintaining office and kitchen supplies, welcoming visitors, meeting readiness, food orders and delivery, and other preparations as needed. The BSAA provides administrative and clerical support as needed and assists with appointments and onboarding and offboarding activities. Supporting departments throughout the company, the BSAA will lead the event planning/preparation and coordination, research venues and/or other social/food-related activities, and be fully prepared for celebrations and other company-wide activities. The BSAA will be a key resource for management team members and fully support the Chief of Staff in projects and needed activities. Accuracy and attention to detail is key! Because of the duties performed, this is not a hybrid position. This is a full-time onsite position. Starting and ending times can be flexible.

In addition to what’s noted above, the BSAA will:

  • Greet visitors and distribute company voicemails accordingly.
  • Schedule necessary appointments for assigned staff members, visitors, candidates, etc.
  • Collate and distribute mail.
  • Arrange department and group meetings ensuring all necessary information and support is available.
  • Ability to compile, review, and submit assigned expense reports.
  • Coordinate interviews and appointments as needed.
  • Support in the area of facilities management.
  • Support the Operations department on an as needed basis (i.e., cover vacation) as a backup shipper. The ability to lift 50 lbs, bend, twist, squat, reach, and stand is needed.
  • Assist and oversee event planning, coordinating logistical execution of meetings, including travel accommodations. Manage hotel room blocks, travel, and ground transportation for attendees.
  • Prepare for Home office Labs by:
    • Partnering with Sr. TM and VPs to schedule labs.
    • Scheduling travel for attending surgeons.
    • Point of contact for attending surgeons to facilitate timesheet and/or reimbursements.
    • Schedule delivery and pick up of cadaver.
    • Order breakfast and lunch for lab.
  • Maintain corporate calendar of events for assigned personnel.
  • Support various business units such as Sales and Marketing with projects as assigned.
  • Other duties as assigned.

That’s the job in a nutshell. Below is what we need to see in our candidates:

  • HS diploma (associate degree+ preferred) or equivalent with three (3)+ years of experience in a similar position.
  • Experience supporting Marketing and Sales departments is a plus.
  • Strong organizational skills and the ability to successfully multi-task.
  • Solid experience in Microsoft Office.
  • Strong attention to detail.
  • Ability to follow through without being asked.
  • Ability to operate office equipment, including printers, copiers, fax machines, and multimedia instruments.
  • Sound decision-making abilities.
  • Strong written and verbal communication skills.
  • Approachable; willing to jump in to support, lead and/or assist.
  • Strong oral and written communication skills.
  • Ability to collaborate and build effective relationships at all levels of the organization.
  • The ability to lift 50 lbs, bend, squat, twist, and reach.
