SUMMARY:
We are seeking a highly organized and detail-oriented Sales and Marketing Administrative Assistant to support our sales and marketing teams. This role is responsible for managing administrative tasks, coordinating sales and marketing events, and ensuring smooth communication between departments. The ideal candidate is proactive, tech-savvy, and able to juggle multiple priorities in a fast-paced environment. Confidential discretion is a must, as this role involves handling sensitive business information, contracts, and client data.
MAIN RESPONSIBILITIES:
- Provide general business administrative support for Sales and Marketing departments.
- Main point of contact for Sales and Marketing accounting activities including credit card reconciliation, purchase request creation, new vendor forms completion and ensuring on time payments to vendors.
- Coordinate sales regional tradeshow logistics for sales including completion of tradeshow paperwork, payments, logistics, shipment and tracking booth materials, replenishment of materials, hotel arrangements.
- Schedule necessary appointments and calendar management for SVP of Sales.
- Provide administrative and travel support for events, including but not limited to managing hotel room blocks, air travel, and ground transportation for sales member attendees and surgeon customers.
- Manage home office logistics for Professional Education Labs and Sales Training Meetings including scheduling surgeon travel, office readiness, communications with sales, point of contact for attending surgeons to facilitate time sheet and / or reimbursements, agenda management.
- Manage event planning and logistics for regional sales meetings, new hire training, global sales meeting, and ad hoc product labs working with Sales Leadership and Marketing to ensure a seamless event.
- Professional Education Surgeon Contract Facilitation and appropriate tracking.
- Manage multiple projects and various events, delivering quality work on time.

REQUIRED SKILLS AND ABILITIES:
- Bachelor's degree plus five (5) + years of experience in a similar position.
- Experience supporting Marketing and Sales departments is a plus.
- Solid experience in Microsoft Office and G-Suite.
- Strong organizational skills and the ability to successfully multitask.
- Professional communication skills with high profile customers.
- Strong attention to detail.
- Ability to operate office equipment including printers, copiers, fax machines and multimedia instruments.
- Ability to follow through without being asked.
- Sound decision making abilities.
